Account & data deletion

StaffTrakr employee accounts are created and managed by your organisation's administrator through the admin console — not by employees in the mobile app. There is no "Delete my account" button in the employee app. When your employment ends, your organisation's administrator deactivates or removes your employee record in the admin console. Overview

The StaffTrakr employee app is for punch-in/out, attendance history, leave and WFH requests, and related workforce features. You sign in with a company domain, username, and password that your employer provisioned.

Employees cannot create or delete their own accounts in the mobile app. Account lifecycle (add, deactivate, delete) is controlled by authorised administrators in the StaffTrakr admin console (web).

Your employer is typically the data controller of your work-related personal data. VNV Logixpace Private Limited (StaffTrakr) processes that data on the employer's instructions as a service provider.

When your employment ends

If you are no longer employed by the organisation that gave you StaffTrakr access, your organisation's administrator is responsible for updating your status in StaffTrakr. Employers manage who is active and who has left through their own HR and attendance processes.

When someone leaves (resignation, end of contract, or similar), the admin should deactivate or delete the employee record in the StaffTrakr admin console so the person can no longer log in, use MPIN, or punch attendance. Employees do not delete their own accounts in this app.

On your personal device, you should:

  • Log out of the StaffTrakr app and uninstall it if you wish. Logging out ends your session and stops live location tracking.
  • Revoke location and notification permissions for StaffTrakr in your phone Settings at any time.

What your administrator can do

Authorised admins manage employees from the admin console. Depending on your organisation's policy, they may take one or both of the following actions:

Deactivate employee

Deactivation is used when someone leaves the organisation (resignation, end of contract, etc.). When an admin deactivates your account:

  • You cannot log in to the employee app.
  • You cannot use MPIN or punch in/out.
  • Your admin records a date of resignation.
  • Existing attendance and workforce records may remain stored according to your employer's policies and applicable law.

Delete employee (permanent removal)

An admin may permanently delete an employee record from the organisation's StaffTrakr account. This removes the employee profile from the admin system and revokes app access. This action cannot be undone through the admin console.

Whether your organisation deactivates only, or also deletes records, is decided by your employer — not by StaffTrakr support or by employees through the mobile app.

What happens to your data

While employed and using StaffTrakr, the system may have stored:

  • Employee ID, name, email, phone, designation, and shift timing
  • Punch-in/out times, attendance status, and work-from-home flags
  • GPS location at punch and, while on duty, periodic location for walkpath/attendance verification
  • Leave and WFH request content
  • Login/logout metadata (for example IP addresses on the server)

After deactivation or deletion, how long records are kept is determined by your employer's policies and applicable law. Local data on your device is cleared when you log out or uninstall the app.

If your account is still active

If you have left your organisation but your StaffTrakr account has not yet been deactivated or removed, contact your organisation's administrator so they can update your employee record in the admin console.

If you cannot reach your employer's admin team, email us at info@vnvlogixpace.com with your name, employee ID, company domain, and a brief description of your request. We cannot delete employer-controlled workforce records without the organisation's authorisation.
